Enquiries and quotes

Enquiries from your website and inbox get a fast answer, the quote is priced from your price list, and if the customer goes quiet, the system reminds you to follow up. Nothing gets lost in the inbox.

ExampleRunning

Example of a quote automation. An enquiry arrives with a drawing, AI reads the dimensions and material, the price is worked out from the price list and a draft quote is prepared. The quote only goes to the customer once the owner approves it.

Example process. Names, numbers and amounts are made up.

What the automation takes over

  • Collects enquiries from your website, inbox and forms in one place
  • Reads what the customer wants: dimensions, quantities, deadlines
  • Prices it from your price list and prepares a draft quote
  • Sends each enquiry to the person responsible for it
  • Reminds you when a customer hasn’t answered a quote
  • Keeps a list of quotes and where each one stands

Where you decide

A quote goes to the customer only once you approve it. For an unusual order the system doesn’t guess a price; it asks you.

Example

Metalwork and steel structures

A customer sends a drawing of a railing. AI reads the dimensions and material, the price is worked out from the price list and the owner gets a ready draft quote. All that’s left is to check it and press “Send”.

Which software we connect

Your website form, Gmail, the Google Sheets your price list lives in, and a CRM (where you keep your customers) if you use one. If a program has an API (a way for other programs to send it data) or exports to a file, we can connect it.

Questions

What if the enquiry is unclear?

The system doesn’t guess. It prepares a short reply asking for what’s missing, or passes the enquiry to a person. Either way, you decide.

Do we need a CRM?

No. A Google Sheets spreadsheet works too. If you already use a CRM, we’ll connect the automation to it.

Our price list is in Excel. Is that fine?

Yes. It can be in Excel, Google Sheets or your own software. It just needs to be in order, and if it isn’t, we’ll sort it out together.
